Website and online tester
The FormatFlow website may receive ordinary technical request data from its hosting provider, such as IP address, browser information, requested page and timestamp. Privacy-friendly analytics may record aggregated page and event information without using FormatFlow advertising cookies.
The online file tester reads supported files in your browser for local analysis. The file itself is not uploaded for that analysis. If you choose the separate Translate Preview feature, the displayed text preview, chosen target languages, document type and tone notes are sent to the FormatFlow preview endpoint and its configured AI provider to generate the preview.
Desktop app and document content
FormatFlow Studio runs on your computer. Files are opened, checked and rebuilt locally. When you select a cloud translation provider, document text and translation context—such as source and target languages, glossary, translation memory, client brief, industry and formatting instructions—are sent directly from your machine to that provider under your API key. Provider privacy terms apply. Ollama workflows can keep model processing local.
FormatFlow does not receive your local documents merely because you install or activate the desktop app. Support codes do not create a remote connection or upload files.
Sales, licensing and support
If you request a quote, buy a license, request a refund or contact support, FormatFlow may use the information you provide, such as your name, company, country, email address, invoice details, payment status, order reference and support messages. This information is used to answer the request, supply and record the license, meet accounting obligations, prevent misuse and provide support.
The seller and payment method are identified on the quote or invoice. A bank or payment provider processes payment details under its own privacy terms; FormatFlow does not ask you to email complete card details.
License records
Paid licenses are signed offline. An administrative issuance record may contain the customer code, license expiry, order reference, issue time and a one-way fingerprint of the issued key. The full activation key does not need to be stored in that ledger. The app stores local trial, license and customer-approved support activation information on the device.
ChatGPT action
The FormatFlow Document QA action may use details you provide, such as document type, source language, target languages, audience, glossary notes and review notes, to create workflow plans and QA checklists. Avoid submitting sensitive document content unless you are comfortable with the connected platform processing it.
Service providers and retention
FormatFlow uses service providers such as Vercel, GitHub, email services, banking or payment services and AI platforms where needed to operate the website, product and support process. Information is kept only as long as reasonably needed for the stated purpose, security, support, tax, accounting and legal obligations.
Your choices and rights
You can ask about, correct or request deletion of personal information held by FormatFlow, subject to records that must be retained by law or for resolving transactions and disputes. Depending on where you live, additional privacy rights may apply.
